Familiarize yourself with this policy before securing a booking. When you book a charter with HarvestGrainLab, you are confirming your consent to these refund conditions.
Standard Cancellation and Refund Schedule
More than 72 Hours Before Charter
Eligible for: Complete refund with the deduction of processing charges
Processing Time: 5-7 business days
Processing Fee: €50 for credit card operations
Conditions: Must be applied for in writing through email or telephone
24-72 Hours Before Charter
Eligible for: Half of the total charter price
Processing Time: 7-10 business days
Processing Fee: €25 taken from the refund
Conditions: A satisfactory reason is needed; administrative expenses will be incurred
Less than 24 Hours Before Charter
Eligible for: Refunds are not available
Exception: Emergencies may be considered on a case-by-case basis
Alternative: A charter credit might be provided at the discretion of management
Conditions: Official documents are required to claim for emergencies
Weather-Related Cancellations
Our Weather Guarantee
At the forefront is your safety. Should the weather not be safe for charter services as determined by our certified captain, several adaptable options are provided:
- Full Refund: If rescheduling is not plausible, a full refund is offered
- Reschedule: Reschedule to an upcoming available slot without added fees
- Charter Credit: Issuance of credit valid for a year from the initial charter date
Weather Assessment Process
Our weather evaluation includes:
- Analyzing wind speed and direction
- Assessing sea conditions and wave height
- Checking visibility and precipitation outlooks
- Heeding Coast Guard advisories and warnings
- Evaluations related to safety from our professional captain
Decision Timeline: Judgments on weather-based cancellations are concluded at the latest, 4 hours ahead of the scheduled departure time.
Medical Emergency Refunds
Emergency Circumstances
Medical urgencies can occur unexpectedly. The following events may be considered for special refunds:
- Sudden hospitalization due to illness or accident
- Immediate family member's demise
- Military duty or urgent recall
- Legal obligations such as jury service or subpoenas
- Disasters affecting travel
Documentation Requirements
In the case of emergency refunds, please submit:
- Hospital documents or medical certification
- Death certification if relevant
- Valid military directives
- Litigation orders or jury notices
- Emergency declarations or travel warnings
Processing: Refunds due to emergencies are handled within 3-5 business days once all necessary proofs are submitted.
Operational Cancellations
Mechanical Issues
If the designated vessel has insurmountable mechanical issues:
- Alternative Vessel: We will strive to provide a comparable vessel
- Full Refund: Given when an appropriate substitute isn't available
- Partial Refund: If the substitute vessel has different rates
- Compensation: Additional recompense may be considered due to the inconvenience
Crew Unavailability
In uncommon events of crew unavailability:
- Arrangements for an alternate crew will be made if possible
- Full refund if the charter is unable to proceed
- Options to reschedule with no extra cost
Refund Processing
Payment Method
Refunds are reverted back through the initial mode of payment:
- Credit Cards: Processed within 5-7 business days
- Bank Transfers: Completed within 7-10 business days
- Cash/Cheque: Executed over 3-5 business days
Processing Fees
Credit Card Transaction
€50 charge for cancellations made beyond 72 hours in advance
Bank Transfer Transactions
€25 fee for all bank transfer reimbursements
International Handling
There could be extra charges for international financial transactions
Charter Credits
Occasions for Credit Issuance
Credit for charters may be presented as an alternative to refunds under specific conditions:
- Late cancellation circumstances
- Weather-related cancelling of charters
- Requests for voluntary changes in schedule
- Unpredictable operational delays
Credit Stipulations
- Validity: Credits are valid for 12 months following issuance
- Transferability: Credits are non-transferable to different individuals
- Value: Equatable to the original charter without deduction of fees
- Application: Usable for any forthcoming charter offers
- Expiration: Extended validity will not be granted beyond a year
Partial Service Refunds
Service Disruptions
Should your charter experience interruptions or be cut short by factors within our influence:
- Refund proportional to the unused segment
- Future charter credit corresponding in value
- Complimentary benefits or service upgrades
Guest-Related Disruptions
Early charter termination due to the behavior or safety infractions by guests:
- No reimbursement for the unutilized period
- Fulfilment of full payment is required
- Additional costs might be imposed
Dispute Resolution
In case of disagreements over a refund decision, you are entitled to:
- Submit a request for a reassessment to our executive department
- Supply further evidence or documentation
- Appeal to consumer protection entities
- Seek legal avenues as permitted by law

- Your reservation verification code
- The date and time of the charter
- The reason behind the cancellation

Step 3: Consideration and Execution
We will acknowledge your request within a day, assess it in line with our policy, make a decision in 48 hours, and proceed with refunds in the timeframes provided.
Important Notes
- Refund applications must be recorded in writing
- Reimbursements are made in € even if a different currency was used initially
- Securing travel insurance is highly suggested
- This policy may be updated with a 30-day notice
- Refunds are subject to legal taxes and regulations
